Expense Reporting for Credit Cards

Meridian’s Expense Reporting provides functionality that allows business customers to enter, decision, track and cost allocate expenses incurred by their employees.

The Expense Reports system provides the following features:

For Employees

Access to posted credit card transactions with the ability to expense any or all transactions
Ability to select expense types, like mileage or out-of-pocket cash, and other transactions that are eligible for reimbursement
Collect, attach and view expense receipt images on a mobile device or desktop

For Employers

Implement checks and balances by requiring review and approval from two program administrators
Use Configuration to automatically assign transactions to the company’s general ledger
Capture company-level data incurred at the expense report or employee level
Expense and allocate data exported from the system and upload into the company’s financial system

Expense Reports Example Workflow:

  1. Program Admin (PA) completes their program’s company configuration section and activates system for all users.
  2. Cardholders must register for card portal access. The PA or cardholder then completes the cardholder’s expense report configuration.
  3. As transactions post, cardholders create & submit expense reports.
  4. Expense reports decisioned by first PA approver.
  5. Expense reports decisioned by second PA approver.
  6. PA exports expense report detail and allocation data to company’s financial system.

Expense Reporting Dashboard

Users may view the most recently submitted report as well as view or edit all the expense reports and details. Program Admin approvers can edit expense reports, search for expense reports and decision expense reports.

Approve Expense Reports

All expense reports are available for decisioning (denial or approval). Listed for each expense report is the Title, Amount, Date and Status. The summary page displays the number of reports in each status and the total dollar amount of the reports.

Configuration

Program Admins can easily begin configuring the program settings by clicking on the Configuration tile.
